What Pinewood Property Services LLC collects through this website, why, and what you can ask us to do with it. Effective November 4, 2026.

What we collect

When you use the quote tool or the request form, we collect what you type and choose: your name, phone number, email, the property address and any other property addresses you send, your company name if you give one, details about the property and the work, when you’d like the work done, and any photos you add. If you tell us you have a code enforcement notice, we get that and any deadline you add.

Each quote or request carries a line on how you reached this site, such as an ad, a search engine, another website, or the code on a mailer. The line names the first page you visited, too. It stays in your browser for the visit, and it’s sent to us only with a quote or request you choose to send. If you came through a Pinewood customer’s referral link, the quote or request also carries their referral code, kept and sent the same way, so we can credit you both.

Nothing you type is sent to us until you press a button that sends it, such as See My Price, Request My Price, or Send My Request. If the connection drops, the quote tool re-sends the same details you already chose to send.

Lot size lookup

When you enter a property address in the quote tool, your browser asks the Hillsborough County and Pasco County public parcel records for the lot size at that address. Only the street address and ZIP are sent, and only to those county services. Your name, phone, and email are never part of that lookup.

When a quote or request reaches us, our system looks the address up the same way to find the property on a map. If the county records don’t match it, the address alone goes to the U.S. Census Bureau’s public address service for an approximate location. Your name, phone, and email aren’t part of either lookup.

How we use it

We use your details to price the work, reply to you, and arrange service. By sending a quote or request, you agree we may call, text, or email you about it, scheduling, and your service. Consent isn’t a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out. If you text or email us photos, we use them only to price and plan the work.

We don’t sell or rent your information, and we don’t send you promotions.

Where it’s stored

Submissions are stored by Netlify, which hosts this website, and delivered to us by email. What you send, photos included, is also saved in our private business database and photo storage with Supabase, on servers in the United States, so we can follow up. Only Pinewood can see it there, and the email we get carries your photos. Your quote is also saved in your own browser so you can pick up where you left off. You can clear it with your browser’s site data settings.

Your customer account

Customers can sign in to their account at /portal with their email and a one-time code we send. There’s no password. We may also text you a sign-in link from our business number. It works once, for a limited time, and signs you in only to your own account. You can also turn on Face ID, Touch ID or another passkey for a device. Your device checks it’s you, and nothing about your face or fingerprint leaves it: your account keeps only the passkey’s public key, the device’s name and when it was last used. You can remove it from your Account page. The account holds what you and we add to it: your contact details, property addresses and access notes such as gate codes, your visits and their prices, requests you send, messages between you and us, and photos either of us adds. It also shows your referral link, the people you’ve referred, and any credit you’ve earned. If someone referred you, they see your first name and last initial and whether the credit for referring you has been earned, nothing else about your account.

It’s stored with Supabase, which runs the account’s database and photo storage for us, on servers in the United States. Sign-in codes are emailed from our business address, service@pinewoodpropertyservices.com, which Google Workspace hosts. Only you and Pinewood can see your account. Photos are private and open through links that expire after an hour. The account pages don’t load the Google Ads tag, and nothing you type or upload there goes to Google Ads or any other advertiser.

When we post to your account, such as a message, a schedule change or a note that work is done, we email it to everyone with access to the account, from the same business address. When you send us a message or a request, we get an email with what you wrote. These emails carry the message text and a link to the account; photos stay in the account.

Your browser keeps you signed in until you sign out. To have your account, messages or photos deleted, contact us using the details below.

Analytics and advertising measurement

This site uses the Google Ads tag, which sets cookies, to measure visits from our ads. It also records which steps of the quote tool were reached, whether a price was shown, and whether a quote or request was sent. A tap on a call, text, or email link is recorded as well. Each one notes at most the page it happened on, the step, and the kind of work picked, like a lawn or acreage. A quote or request sent from the quote tool also notes its starting price. We don’t pass your name, phone, email, address, or anything else you type to Google. Google may use these cookies to show our ads to people who have visited this site. You can turn off personalized ads in Google’s My Ad Center.

We also use Google Analytics, which sets its own cookies, to count visits to each page and see how people find and move through the site, including the quote tool steps above. It records the pages you view, the site or search that sent you, your type of device and browser, and your rough location, such as your city, worked out from your internet address. Google Analytics doesn’t store that address, and we don’t pass it your name, phone, email, property address or anything else you type. We don’t use it to show you ads, and the account pages don’t load it. You can block it with your browser’s cookie settings or Google’s Analytics opt-out add-on.

Netlify, which hosts this site, also counts page visits from its own server records, without cookies or any script on the page.

Public property records

When we see a property that looks like it needs work, we may note where it is and look up its owner and mailing address in the county property appraiser’s public records, so we can send the owner a letter or postcard about our services. We may also search those records for vacant land, recently sold land, recently bought homes, and homes in our service area whose owner lives elsewhere, and check the county’s public records for code cases on a property, or for new homes that have just been finished, for the same purpose. When a property is listed for sale or lease, we may also contact the listing broker or property manager at the business phone number or email they publish for it. We keep these notes private, contact owners from public records only by mail, and don’t share them. To have yours removed, contact us using the details below.
